Why Cowork Booker

You pay for successful sales

There is no fee to add a venue and no subscription for the offer itself. Commission is 12% net + 23% VAT on a booking completed via Cowork Booker. Example: €1000 gross → €147.60.

See partner pricing

Full control of the offer

You set prices, availability, cancellation rules, venue terms and an optional deposit. Guests see your conditions before they pay.

An extra channel, without rebuilding the venue

Cowork Booker sits beside your existing sales. You do not have to change reception, your website or the system you already use.

No long-term commitments

You can close the account at any time. No contractual penalties. You can return to the cooperation at any time.

You control the offer

You set the sales conditions. Cowork Booker does not take over your reception or your own price list.

  • Prices and plans: hourly, daily and longer stays.
  • Availability calendar and opening hours.
  • Cancellation rules in the price plan.
  • Short and longer stays, including a minimum of 7 or 30 units where you need it.
  • Your own venue terms. The guest must accept them before payment.
  • Optional deposit — Cowork Booker does not collect or settle it; it only shows the rules to the guest before purchase.

Prices

5-minute / daily / monthly plans.

Venue terms

Deposit

Shown in the cart; settlement stays on your side.

iCal calendars

You can import and export calendars per space. Sync runs periodically, every few minutes. An import from an external calendar does not automatically block guest checkout — we do not guarantee no overbooking.

Host dashboard — your central cockpit

Cowork Booker shows in one place how bookings across individual spaces affect availability across your entire venue.

Smart availability management

Booking a desk can block the room it sits in. Combined rooms demand precision — Cowork Booker handles this automatically.

One cockpit for all channels

With iCal integration you consolidate bookings from your own site, external booking portals, and any other system — all visible in the host dashboard.

The cockpit is completely free

iCal integration costs nothing. You get a centralised availability management dashboard at no extra charge.

Commission applies only to bookings made directly through the Cowork Booker portal. Bookings from other channels and those entered manually by the operator or reception staff are commission-free.

Automate at no extra cost

You start without locks, QR codes or automation. You can add them later to cut manual work — TTLock, QR and the AI assistant are included, at no extra charge.

TTLock lock (optional)

Integration with TTLock/Sciener locks: time-limited codes for an active booking. Other lock brands have no ready API. You do not need a lock to publish an offer.

Venue QR code

A web page at the location URL, not a native app. The guest scans, picks a slot and pays.

  • Scan the code on site
  • Availability search
  • Cart and payment

AI assistant

Helps in the panel with offer setup and copy. The Cowork Booker team remains available via the contact form.

Questions from Coworks

Costs and contract

No — adding a venue costs nothing. There is no setup fee either. You can take your time configuring the offer and publish it when it feels ready.

No. There is no monthly subscription just for having the offer on the platform. Stay with us for as long as you like.

You don’t have to. Publishing an offer and starting to sell does not require a fixed-term contract. You start when you are ready.

Yes. You can close the account at any time — with no contractual penalties. If you ever want to come back, the door stays open.

No. We only charge commission on bookings completed through Cowork Booker. Simply being listed costs nothing.

Commission is 12% net of the gross booking amount plus 23% VAT. Example: €1000 gross → €147.60 in total. Current rates and details are on the partner pricing page.

It depends. If you keep the guest’s fee on cancellation, commission may still be due — the full rules are on the partner pricing page. Have a look there before you decide.

Start and setup

Yes — you can set everything up yourself. The wizard walks you through the legal entity, location, space and price plan. You don’t have to wait for us to implement anything.

There is an AI assistant in the panel to help with setup. If you would rather talk to a person, write to us via the contact form — we are happy to help.

Yes. After saving, guests cannot see the offer until you turn on venue visibility. As an admin you can open the public URL and check the preview at your own pace. When it looks right, you activate visibility and the offer appears to guests.

You don’t have to. Add only the spaces you want — for example one room — and leave the rest off the offer.

Of course. One space with a price plan is enough to publish. You can add more rooms and desks later, at your own pace.

Cowork Booker works very well as an ERP-class system for coworking spaces and includes the features an operator needs. You can therefore drop other systems and rely on Cowork Booker alone. If you still need to keep a system already in use in your organisation, you can continue with your own reception, website and calendars there and sync calendars via iCal.

Your offer

You do. You set prices, plans and discounts in the panel. In the venue settings you can also join the Nomad programme. Nomad 1 offers a 10% discount to all signed-in Cowork Booker users. Taking part is optional.

Yes. You can offer 5-minute, daily and longer plans, with a minimum of 7 or 30 units where needed. The booking horizon is a rolling 18 months: guests can book up to 18 months ahead from now.

Yes. In the location settings you add your house rules and venue terms. Guests see them before paying and must accept them — a separate consent, next to the Cowork Booker Terms. Without that acceptance the booking cannot go through.

Yes. You enable a deposit in the price plan and describe the rules. Cowork Booker does not collect or settle deposits — we just show the guest the information before purchase, in the cart and on the summary. Settlement stays on your side.

In the panel you set opening hours and what is already booked. Guests can only book free slots in the Cowork Booker offer. If you also use another system, you can sync availability via iCal — per space, both ways (import and export). You always see what is available.

Channels and guests

Per-space calendar import and export, with periodic sync every few minutes. Export lives in the admin panel and requires sign-in. You set a calendar URL independently for each space (a room, desk or other resource) in the venue settings. That lets you sync availability across systems or publish a resource availability calendar on your own website.

Yes — reducing overbooking is the point of this sync. We still cannot guarantee it 100%. Sync is not instant, and an import from an external calendar does not automatically block guest checkout. Keeping the calendar up to date is the venue operator’s responsibility.

Yes. The Cowork Booker interface is in six languages, so guests from abroad can use the platform comfortably. You can translate offer descriptions on demand — and if a translation is still missing, they see the original text.

You translate descriptions on demand with AI, into six languages. It does not run automatically on every save — you can do it manually with one click in the location preview in the venue settings.

You choose the offer currency in the wizard — that is the currency you sell in. Guests can also see a conversion in the currency they pick in their user profile.

A form on your site (people, dates, times, Show availability). The guest continues to Cowork Booker to finish the booking. You can copy the widget code in the venue settings — Add-ons tab.

It is a web page at the location URL, not a native app. The guest scans the code, searches a slot and pays in Cowork Booker. If the guest already has an active reservation and the venue has an access-control system integrated with Cowork Booker, a signed-in guest who scans the QR code (for example on the venue door) can unlock the door.

Yes — the host dashboard aggregates availability from all channels connected via iCal. A booking from an external portal, your own website, or entered manually by a receptionist — all appear in one calendar. You pay commission only on bookings made directly through Cowork Booker. Bookings from other channels and those manually entered by the operator or reception staff carry no commission.

Access and automation

No — TTLock/Sciener is entirely optional. You can publish an offer without access automation and welcome guests the way you do today. Ready-made API is currently for TTLock/Sciener; other lock brands are not integrated.

It depends on how you work on site. Guests can get in via reception, a code from the booking, or an optional TTLock when they have an active reservation. The QR code opens the booking in the browser — no separate app to install.
